Introduction

Parseo.ai ("we" or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect personal data when you use our invoice digitization service. We comply with the EU General Data Protection Regulation (GDPR) and applicable Lithuanian data protection laws. We only process personal data for lawful purposes, primarily to provide our services to you (contractual necessity under GDPR Article 6(1)(b)) and to fulfill legal obligations. By using Parseo.ai, you agree to the collection and use of information as described in this policy.

Personal Data We Collect

We collect only the minimum personal data required to register you as a user and to process your invoices. This includes:

Account Information

Basic details you provide when registering an account, such as your name, email address, and login credentials. This information is necessary to create and manage your user account. We do not collect excessive personal details – just what's needed for registration and authentication.

Invoice Data

The content of invoices or receipts that you upload to our platform for OCR processing. These documents may contain personal data related to you or third parties (for example, names, company details, addresses, tax identification numbers, line-item details, dates, amounts, etc.). We treat all invoice content as confidential user data and do not use it for any purpose other than providing our service to you.

We do not collect any personal data apart from the categories listed above. In particular, we do not gather information about you from third parties (other than data you ask us to fetch from your Google Drive, as described below) or track you beyond your use of our service.

How We Use Personal Data

We use your personal data solely to operate and provide the Parseo.ai service and to fulfill your requests. Specifically:

Providing the Service

We use your Account Information to authenticate you and maintain your account (e.g. allowing you to log in, setting your preferences, and contacting you about service-related matters). We use your uploaded Invoice Data to perform optical character recognition (OCR) and data parsing in order to extract structured invoice information and deliver the results back to you. For example, if you upload an invoice PDF, our system will extract key details (such as vendor name, invoice number, date, line items, totals, etc.) and present them to you in a structured format for download or integration. This automated processing of invoice content is done only to provide the functionality you explicitly request.

Customer Support and Communication

If you contact us with a question or issue, we will use your provided information (such as your email) to respond and help resolve it. We may also send you administrative or service-related messages (for example, if we update our terms or need to inform you of important changes affecting the service). We do not send marketing emails or newsletters unless you have explicitly opted in to such communications.

Service Improvement and Legal Compliance

Internally, we may analyze usage in aggregate (without accessing the content of your invoices) to improve our OCR algorithms and service performance. Any such analysis would exclude personally identifying details. Additionally, we may process and retain some data as needed to comply with legal requirements – for instance, keeping invoice processing logs or billing records if required by law. We will never use your personal data for any purpose that is incompatible with the ones described above without updating this policy and, where necessary, obtaining your consent. This never includes data received from Google APIs or the contents of your documents: neither is used to improve our algorithms or to train models.

Atsiskaitymai ir teisinės prievolės

Tvarkome duomenis, reikalingus sąskaitoms išrašyti, mokėjimams apdoroti ir buhalterinei apskaitai tvarkyti (pvz., galime saugoti informaciją apie išrašytas sąskaitas ir atliktus mokėjimus). Taip pat galime tvarkyti asmens duomenis, jei to reikalauja taikomi įstatymai ar teisės aktai – pavyzdžiui, įvykdyti prievoles pagal mokesčių teisę ar atsakyti į teisėtus valdžios institucijų reikalavimus. Tokiais atvejais tvarkymas grindžiamas teisinių prievolių vykdymu.

Saugumas ir sukčiavimo prevencija

Siekdami apsaugoti mūsų sistemą, jūsų paskyrą ir kitų vartotojų duomenis, galime naudoti techninius duomenis bei veiklos žurnalus įtartinai veiklai aptikti ir užkirsti jai kelią. Pavyzdžiui, IP adresus ir prisijungimų įrašus galime analizuoti, kad nustatytume neteisėtus prisijungimus ar apsaugotume nuo DDoS atakų. Taip pat galime naudoti minimalius būtinus slapukus jūsų sesijai valdyti ir apsaugoti (pvz., prisijungimo sesijos identifikatoriui išsaugoti). Šiuo tikslu duomenų tvarkymas grindžiamas teisėtu interesu užtikrinti mūsų paslaugų saugumą bei vientisumą.

Mes niekada nenaudosime jūsų asmens duomenų rinkodaros tikslams ar nesiųsime jums reklaminių pranešimų, nebent turėsime jūsų aiškų sutikimą. Taip pat netvarkome duomenų automatizuotai taip, kad jums būtų priimami teisiškai ar panašiai reikšmingi sprendimai be žmogaus įsikišimo (pvz., netaikome jokio profiliavimo, kuris darytų didelę įtaką jūsų teisėms). Kiekvienu atveju užtikriname, kad asmens duomenys tvarkomi skaidriai ir laikantis BDAR nustatytų teisinių pagrindų (sutarties vykdymas, teisėtas interesas, teisinė prievolė arba sutikimas – priklausomai nuo situacijos).

Google Drive Integration and Google User Data

If you connect a Google account, Parseo.ai accesses your Google Drive through Google's APIs, only after you grant permission on Google's consent screen and only to the extent you choose:

  • With the narrow permission (Google's "drive.file" scope) Parseo.ai can see and use only the files and folders you pick in Google's file picker and the files and folders Parseo.ai itself creates. This is used to import the files you pick, to create the archive folder you asked for and write copies of your own documents into it, and to save export files to a Drive folder you chose.
  • With the broader permission (Google's "drive.readonly" scope), which Parseo.ai asks for separately and only when you choose to watch a folder, Parseo.ai periodically reads the contents of the folders you told it to watch so that new invoice files placed there are imported automatically. Parseo.ai does not modify, move or delete anything in a watched folder.

We use the data we receive from Google – folder and file names, identifiers, file contents and the account's email address – solely to provide these features to you. We store the access tokens Google issues to us encrypted on our servers, together with the folder and file identifiers needed to keep the integration working, and we keep imported file contents as invoice documents in your account under the rules of this policy. We do not use Google user data for advertising, we do not sell it, we do not share it with third parties other than Google itself (to perform the operations you requested), and no person at Parseo.ai reads it except with your explicit permission, when needed to investigate a security issue or abuse, or where the law requires it. Google user data is never used to develop, improve or train generalised artificial-intelligence or machine-learning models.

Parseo.ai uses artificial-intelligence models to read your documents (for example, to extract the supplier, date, amounts and line items from an invoice) and to power the in-app assistant. These models are self-hosted: they run offline on infrastructure we control, and Google user data is processed there locally. It is never transmitted to any third-party AI service, model provider or external API, and no model provider receives it for training or any other purpose. Google user data, whether raw, aggregated, anonymised or derived, is never used to create, train, fine-tune or improve generalised or foundational artificial-intelligence or machine-learning models, whether ours or anyone else's.

You can disconnect a Google account at any time in the app's cloud storage settings. Disconnecting revokes and deletes the tokens; "Disconnect and forget" also deletes the import and archive history for that account. You can also remove Parseo.ai's access from your Google account at https://myaccount.google.com/permissions. Deleting your Parseo.ai account deletes all Google-derived data under the retention rules described below.

Parseo's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data Storage and Security

Your personal data is processed and stored on infrastructure we control, located in secure data centres within the European Union. Document analysis (OCR and data extraction) and the in-app assistant run on self-hosted artificial-intelligence models on our own systems; we do not send the contents of your documents, or any data received from Google, to any external AI, OCR or language-model provider. The only case in which your data leaves this infrastructure is when you ask us to: if you connect Google Drive, copies of your own documents are written to folders in your Google Drive, as described in the Google Drive section above. We employ industry-standard security measures to protect your information, including encryption of data in transit (SSL/TLS), encryption of stored data (including the Google access tokens we hold), firewalls, and access controls to ensure that only authorised personnel can access systems containing personal data. We continuously work to maintain the confidentiality, integrity and availability of your data. In the unlikely event of a data breach that affects your personal data, we will notify you and the relevant authorities as required by GDPR.

Third-Party Services

Parseo.ai does not share, sell, rent or disclose your personal data to third parties for their own purposes. We rely on a small number of service providers, each of which processes data only on our instructions and only as far as needed for the purpose stated below:

  • Google (Google Drive integration) Only if you connect a Google account, and only as described in the Google Drive section above. Google receives the requests needed to read the files you pointed us to and to write the copies you asked for into your own Drive.
  • Stripe (payment processing) If you are a paying customer, Stripe processes your payments. Your card details are entered directly with Stripe and never touch our servers; we receive only the billing details and payment status needed to manage your subscription.
  • Sentry (error monitoring) Sentry receives technical error data so that we can detect and fix faults. Error reports never include the contents of your documents.
  • Infrastructure providers (hosting) Our infrastructure is hosted in data centres operated by providers within the European Union. They store data on our behalf under data processing agreements and do not access it for their own purposes.

We never sell or rent your personal data. Beyond the providers listed above, no third-party company or outside individual has access to your data for processing, analysis or any other purpose.

The only other exception is where we are required by law to disclose certain information – for example, in response to a valid court order or regulatory demand. In such cases we disclose only the minimum data necessary to comply with the legal obligation and, if legally permitted, we inform you of the disclosure.

Your personal data is stored and processed within the European Union. Google Drive copies go to your own Google account under Google's own terms and privacy policy. Where a provider processes data outside the European Economic Area, we rely on safeguards recognised by GDPR, such as the European Commission's standard contractual clauses. If we ever change our providers or the location of processing, we will update this privacy policy accordingly.

Data Retention and Deletion

We store personal data only for as long as it is needed to fulfill the purposes described in this policy or as required by law. In practical terms:

Invoice Data

Any invoices or documents you upload to Parseo.ai will remain in your account until you choose to delete them or until you delete your account. You have full control to remove (delete) any uploaded document from your account at any time. When you delete an invoice or other document, it is removed from our active database immediately and will no longer be accessible to you or our staff.

Account Information

Your registration details (like name and email) are kept for as long as your account is active so that we can provide the service to you. If you update your information, we may keep prior versions for our records (unless you request complete erasure).

Finansiniai ir mokėjimų duomenys

Sąskaitų faktūrų išrašymo ir su mokėjimais susijusią informaciją tvarkome vadovaudamiesi teisės aktų reikalavimais. Pagal Lietuvos Respublikos teisės aktus apskaitos dokumentai (pvz., išrašytos sąskaitos) turi būti saugomi ne trumpiau kaip 8 metus. Todėl jūsų, kaip kliento, mokėjimų istoriją ir išrašytas sąskaitas faktūras saugosime įstatymų nustatytą laikotarpį, nepaisant to, kad kiti duomenys gali būti ištrinti anksčiau. Šie duomenys bus saugomi tik buhalterinės apskaitos tikslais ir teisinei prievolei vykdyti.

Techniniai žurnalai ir saugumo duomenys

Sistemos žurnalus (įskaitant prisijungimų įrašus, klaidų žurnalus) saugome trumpiau, paprastai 30–90 dienų. Šis laikotarpis reikalingas sistemų veikimo analizei, saugumo incidentų tyrimui ir veiklos tęstinumo užtikrinimui. Pasibaigus terminui, žurnalų įrašai saugiai pašalinami arba agreguojami, kad nebeliktų galimybės identifikuoti asmenų.

Account Deletion

If you decide to close your account, you can do so at any time through the account settings or by contacting us. Once you delete your account, all personal data associated with your account – including your profile information and any stored invoice data – will be scheduled for permanent deletion. We observe a 30-day retention period after an account or data deletion request, after which the data is irreversibly deleted from all of our systems, including backups. This 30-day window is maintained to accommodate any accidental deletions or account closures (so that we can assist in recovery if you change your mind within that time) and to ensure complete removal from backups and archives. During this interim period, the data is inaccessible and securely isolated. After 30 days, the data is permanently erased and cannot be recovered.

Please note that in certain cases we may retain minimal information beyond the deletion period if required for legal, auditing, or compliance reasons – for example, records of financial transactions (if you are a paying customer, we might retain invoice receipts or payment records as required by tax law), or information necessary to demonstrate our compliance with data protection requests. However, in general, once the 30-day period passes, all of your personal data will be entirely deleted from our servers.

Your Rights Under GDPR

As a user of Parseo.ai and a data subject under EU law, you have several important rights regarding your personal data. We are committed to honoring these rights. You may exercise the following rights at any time:

Right of Access

You have the right to obtain confirmation of whether we are processing personal data about you, and if so, to request a copy of that data. We will provide you with a copy of your personal information that we hold, as well as information about how we use it, within the bounds of applicable law. This allows you to see what data we have on you.

Right to Rectification (Correction)

If any of your personal data stored by Parseo.ai is inaccurate or incomplete, you have the right to have it corrected or updated without undue delay. For instance, if your email address or name has changed, you can update it in your account settings, or ask us to update it. We encourage you to keep your account information current to ensure we can effectively communicate with you.

Right to Erasure (Deletion)

You have the right to request deletion of your personal data ("right to be forgotten") in certain circumstances. As described in the Data Retention and Deletion section, you can delete your account or any specific documents at any time, and we will erase the associated personal data (after the standard 30-day purge period). We will also delete personal data that is no longer necessary for us to provide the service or if processing is unlawful. Please note that we might retain some data if we have a legitimate basis to do so (for example, a legal obligation), but we will inform you if that is the case.

Right to Data Portability

You have the right to receive your personal data that you have provided to us, in a structured, commonly used, machine-readable format, and to transmit that data to another controller when feasible. In practice, this means you can export the structured data results from your processed invoices at any time (e.g., download the extracted invoice data as a CSV or JSON file). If you need other account data exported, we will assist you by providing your information in a suitable format. This right applies to data that you gave us and that we process by automated means based on your consent or a contract (here, the contract being the terms of service you agree to by using Parseo.ai).

Right to Object

You have the right to object to our processing of your personal data in certain situations. Given that we do not use your data for marketing or profiling, the main instance of this right would be if we were processing your data under a legitimate interest basis. You can object to such processing if you feel it impacts your rights. If you lodge an objection, we will stop the processing in question unless we have compelling legitimate grounds to continue (or if it's needed for legal claims). For example, if in the future we implemented an analytics feature based on user data, you could object to that processing. Currently, we do not engage in processing that would fall under this category aside from essential service provision.

In addition to the above rights, if we ever process personal data based on your consent (for instance, if you explicitly agree to receive marketing emails), you have the right to withdraw that consent at any time. Withdrawal of consent will not affect the lawfulness of any processing we carried out before you withdrew, and of course we don't penalize anyone for opting out of optional data uses.

You also have the right to lodge a complaint with a Data Protection Authority (DPA) if you believe our handling of your personal data is unlawful or does not meet GDPR requirements. We would appreciate the chance to address your concerns directly, but you can always contact your local supervisory authority or the Lithuanian State Data Protection Inspectorate (since Parseo.ai is based in Lithuania).

We will never discriminate or retaliate against you for exercising any of these rights. To exercise your rights, you can contact us using the information in the Contact section below. We will respond to all legitimate requests as soon as possible, and in any case within the timeframe required by law (generally within 1 month, as per GDPR, extendable if necessary).

This is to ensure we do not disclose personal data to the wrong person. Once verified, we will take the requested action or provide an explanation if we cannot fulfill the request (for instance, if you ask us to delete data which we are required by law to keep, we will inform you of that obligation).

Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. If we make material changes, we will notify you by email (sent to the address associated with your account) or by placing a prominent notice on our website. We encourage you to review this Policy periodically for any updates. The "Last updated" date at the top will always indicate the latest revision. Your continued use of Parseo.ai after any changes to this Policy constitutes acceptance of the revised terms.
